El Segundo, CA – On a humid September night in Nashville, Tennessee, Classic Tents – one of 18 locations within the Classic Party Rentals nationwide network – was the subject of widespread praise and industry accolades. Classic Tents delivered a 100-by-160-foot oval-shaped tent for the Nashville Symphony’s "Schermerhorn Symphony Center Gala Opening Night." The structure was not only the evening’s focus of attention, but it was prepared in record time.
To introduce Nashville’s new Schermerhorn Symphony Center, Nashville Symphony officials hosted an opening-night party which followed the center’s inaugural concert. Classic Tents was sought to produce a unique cleartop structure for Hall of Fame Park, a large grass field just outside the Symphony Center. With a recommendation from Production Designer Jim Mees, event chairpersons Julie Boehm and Ellen Martin suggested a 100-foot round structure, with a surrounding 30-foot wide ring, creating an elaborate 160-foot wide circular tent, similar to the nationally recognized structure Classic Tents provided for Elton John’s Academy Awards party in 2005. The tent was manufactured by Torrance, CA-based Aztec Tents.
“The structure we originally envisioned for the opening gala would have been magnificent,” said Howard Tabackman, Classic Tents’ Vice President of Sales. “We made all the necessary preparations to erect the structure, and we received verbal approval from the city’s building inspector. But less than three weeks prior to delivery, the event’s on-site coordinator notified us that there had been a miscommunication, and that the permitting process had not moved through as we thought.”
When the city reviewed the plans, the worse-case scenario occurred: The permit was not approved. Nashville city officials felt the structure was too heavy, as it sat atop a three-floor underground parking structure. Because of the false top soil and waterproof membrane atop the parking lot, the structure also could not be staked; installation would require weights and cement spikes which would also require approval.
“Despite the setbacks, we were determined to utilize the original cleartop structure and stay on location at Hall of Fame Park,” said Karen Casey of On-Site Event Services, who was hired in August to coordinate event production. “With less than three weeks until the event, Howard offered an alternative – a new oval-shaped tent, and he suggested we use foundation piers in the garage beneath the tent’s base plates to provide the needed extra support. Still, with these improvements, we would require approval from the parking lot owners and the exact engineering designs for the tent -- and it was the Friday before Labor Day!”
Classic Tents redesigned the structure to reduce the weight and reposition its anchor drilling points just three days before the company’s trucks in Torrance, California were scheduled to leave for Nashville. Even once the trucks had left Torrance, final approval had not been received from the city so – according to Casey – the shipment could have been in vain. Hours before Classic Tents’ trucks arrived in Nashville, the city approved the last-minute changes and the event was saved. As a final unforeseen obstacle, to protect the park’s topsoil, forklifts had to be replaced with boom cranes to complete setup within the park’s weight restrictions.
“Classic Tents truly rose to the occasion for us,” said Casey. “Nobody could have foreseen the city’s approval decisions, and that’s what makes Classic Tents’ performance so remarkable; without hesitation their team sprung into action and created a product that met everyone’s standards. In the end our gala was perfect and the final inspection of the parking garage showed no signs of damage or stress at all. The success is a tribute to the massive team effort, and we could not have done it without Classic Tents’ willingness to go above and beyond.”
The final product was a 100-foot-wide-by-160-foot-long clear-top oval structure with air conditioning, to squelch the outside heat and humidity. Guests dined beneath the stars after enjoying the Nashville Symphony Orchestra’s grand opening performance.
“Events like these make this job worth the hard work,” said Tabackman. “We rallied around the clock for days at a time to make this structure a reality, and after seeing the result, it was worth every second.”
